Summary Statement: 


The position of the Business Office Manager is under general direction of the Executive Director, responsible for the day to day operation of the administration office. Provides support to community stakeholders, including residents, employees and managers, in all areas of the company’s shared services department, including hire to retire, procure to pay and resident billing.

Essential Job Functions

• Oversees the operations of the community administration office, setting and revising office policies and procedures as required.
• Responsible for employee management of the administration office support staff including hiring, reviewing performance, supervising the work, and processing payroll.
• Coordinates the localized hire to retire, procure to pay, and resident billing processes by compiling, sorting and verifying documents to substantiate business transactions.
• Assists managers with the new hire process which includes: verification of required pre employment elements, completion of new hire paperwork and timely submission to Hire to Retire of new hire documents.
• Ensures newly hired employees are scheduled for New Hire Orientation.
• Ensures accuracy of resident census data and employee data.
• Coordinates classified advertising for open positions within the community and submits to Human Resources for placement.
• Reviews work related incident reports to ensure completion before obtaining required signatures and forwarding to Human Resources.
• Serves as the community’s benefits designee for educating employees enrolling in benefits and for answering basic benefit questions.
• Assists in annual open enrollment for benefits as outlined in BSS manual.
• Ensures employee supplies proper documentation related to benefits to forward to Human Resources for processing.
• Handles resident billing correspondence including billing concerns and participates in the collection of past due accounts including the oversight of the distribution of past due notices.
• Maintains petty cash system, responsible for disbursements and reconciliation of balance with transactions.
• Performs insurance verifications for WBC admissions, prior to the receipt of Part B therapy services and for LifeCare Consultants and Residency Counselors.
• May perform other duties as assigned.

Job Requirements

Critical Skills and Knowledge Necessary

• Proficiency in standard business computer applications
• Excellent interpersonal, written and verbal skills using the English language to effectively communicate with employees and residents per operating policies and confidentiality standards
• Excellent organizational skills to prioritize and meet required deadlines
• Work requires ability to analyze and interpret data of a moderately complex nature

The critical skills and knowledge required to successfully perform the functions of the position are normally obtained thru the completion of a high school education along with four to five years related work experience showing progressively increasing responsibility; or by completing an undergraduate degree with two to three years of business office experience showing progressively increasing responsibility; and by completing three to six months of on-the-job training.
