Acts is currently seeking qualified candidates for our Procurement  Coordinator.

The Procurement Coordinator plays a key role in compiling information, prepares spreadsheets and coordinates communications for contract administration including but not limited to bid preparation, analysis and subsequent communication to the communities.  Compiles information (both external and internal) and updates computer system to facilitate use of the E-Requisition Procurement System.

Essential Job Functions:

1.    Creates, develops and maintains various Lawson, CBORD and purchasing files and templates including: requester and requesting location information, item master file, price agreements and purchasing templates.


2.    Coordinates, maintains and scans contract documents through ImageNow and links to appropriate Lawson forms.  Maintain contract files.


3.    Generates procurement reports and prepares spreadsheets for contract development, analysis, and compliance.


4.    Assists with modifying and updating content on the Procurement and Contract Management web page., and any policies/procedures.


5.    Prepares bid documents for collection of bids, preparation, analysis and subsequent communication to the communities.


6.    Assists in training requesters (both at the corporate office and at the communities) on how to use the Lawson software to process requisitions and receive orders.


7.    Collect and Maintain supplier certificates of insurance, keep files


8.    Assist in facilitation of new vendor addition process, review forms, sanction checks


9.      May perform other duties as assigned

Job Requirements

Education & Experience: The critical skills and knowledge required to successfully perform the functions of the position are normally obtained thru:

      • Education Level: High school diploma/G.E.D; College education is preferred
      • Computer Skills: 5 year experience with daily Microsoft use including mail merges, sorting and subtotaling
      • Years of Relevant Work Experience:  2 years experience purchasing or related work experience.  On the job training of 3 - 6 months is required to learn the ERP system and internal Materials Management policies
