The Rehabilitation Office Assistant position supports the daily operations of the rehabilitation department with a focus on quality assurance and internal compliance.  The Rehabilitation Office Assistant will also perform routine activities as assigned for the provision of client services.

Job Functions   

  1. Performs clerical duties within the department, including maintenance of client files and records under the direction of therapists and Rehabilitation Services Director.        
  2. Assists in scheduling             
  3. Files correspondence and other records.   
  4. Maintaining monthly billing tool and tracking pertinent information          
  5. Answers telephone and gives information to caller or routes call to appropriate department and places outgoing calls.  
  6. Greets clients, assists with completion of initial paperwork prior to evaluation as well as completion of discharge paperwork
  7. Compiles and types statistical reports, as directed.          
  8. Records minutes of staff meetings         
  9. Uses various office machines, copies correspondence, and prepares various documents.            
  10. Assists with preparation of equipment in the Rehab clinic and lets the Rehabilitation Services Director know when maintenance or attention is required.      
  11.  Keeps the Rehab Dept. well stocked with items including but not limited, office supplies, patient treatment supplies, linens, bathroom supplies, cleaning or whirlpool supplies          
  12.  Assists with cleaning and maintenance of treatment areas, according to all specific safety and infection control policies and procedures
  13.  Assists in departmental communications as delegated, which may include attendance at meetings, communicating with nursing staff, telephoning, and ordering supplies. 
  14. Will use Microsoft Office Suite with a focus on Microsoft Word, Excel & Power Point daily
  15. Will assist in communications with insurance companies to obtain insurance authorizations
  16. May perform other duties as assigned.  

Job Requirements

Education & Experience:

The critical skills and knowledge required to successfully perform the functions of the position are normally obtained thru:

  • High school education
  • More than 2 years clerical experience - post high school.

 

 Critical Skills and Necessary Knowledge:

  • Excellent written, verbal and grammatical skills within the English language
  • Communication and Interpersonal (must be able to work well in a team-oriented environment
  • Excellent computer software knowledge (MS Word, Excel, Outlook, AOD, Millennium)
  • Exceptional customer service, quick evaluation and decision making       
  • Must be able to meet deadlines as required
  • Ability to operate all office equipment (including telephone, computer, copier)
  • Good mathematical skills with the capability to work in fractions, decimal points, and whole numbers
  • Ability to multitask throughout the day
  • Work efficiently with minimal supervision
